Accounting Process Outsourcing in Pune

Maybe you do not want to hand over your whole accounts function. Maybe it is one process that eats up your team’s week: vendor payments that pile up, collections nobody has time to follow, an asset register that is out of date, or group balances that never agree at month-end. We take that one process over, write down how it will run, and report against turnaround times we agree with you in advance. You keep control of approvals. We do the work and show you the exceptions.

This service is built for small and medium businesses with a stretched finance team, mid-sized companies with higher volumes, and Indian entities of overseas groups that need a dependable local back office in Pune.

SCOPE OF WORK

Which Process Would You Like to Hand Over?

01 / 05

Accounts Payable

We check vendor bills against purchase orders and goods receipt, verify the vendor’s GSTIN, PAN and bank details, check GST input credit and TDS applicability, prepare the payment schedule for your approval and reconcile vendor statements. We also track payment dates for micro and small enterprise vendors, because the law limits how long you can take to pay them.

02 / 05

Accounts Receivable

We match receipts to invoices, produce ageing reports, prepare follow-up lists for your sales or credit team, and flag accounts that are overdue or disputed, so provisions can be considered on facts.

03 / 05

Fixed Asset Accounting

We maintain the asset register, check capitalization against your policy, calculate depreciation as per the Companies Act and income tax rules, record disposals and support physical verification.

04 / 05

Inter-Company and Group Reconciliation

We match balances between Indian entities and overseas group companies, identify timing and currency differences, and prepare confirmations and schedules for the parent’s consolidation.

05 / 05

Month-End Close Support

We prepare the accrual list, prepaid and provision schedules, cut-off checks and trial balance review, so your close timetable holds.

OUR APPROACH

How We Run an Outsourced Process

  1. 01We document how it works today.

Steps, inputs, approvals, systems and exceptions are written down with your team.

  2. 02We agree turnaround and accuracy targets.

For example, vendor bills processed within a set number of working days and receipts matched weekly.

  3. 03We shadow your team.

Our people learn the process by watching it run.

  4. 04We run one cycle in parallel.

Our output is compared with your team’s. Nothing moves to us until both match.

  5. 05We take over.

Work follows the written procedure, with a preparer and a reviewer on every item.

  6. 06We report each month.

Volumes processed, exceptions raised, targets met and open items.

Turnaround and accuracy targets are agreed in writing. Exact targets depend on the process and will be confirmed in the scope.
PROCESS GOVERNANCE

Controls Built Into the Process

Outsourcing only works if control stays with you. We build in:

Separate preparer and reviewer on every entry and payment list

Access limited to the modules and ledgers the process needs

Written approval limits for payments, with release left to your authorised signatories

Vendor master changes such as bank details verified before they are saved

Reconciliation checkpoints at fixed dates each month

An exceptions list for your sign-off, so nothing is fixed quietly

QUESTIONS, ANSWERED

Frequently Asked Questions

Scope, setup, controls, reporting and pricing for outsourced finance processes.

What is the difference between accounting process outsourcing and bookkeeping?

Bookkeeping hands over the full set of books on a monthly cycle. Process outsourcing hands over one defined process, such as payables or fixed assets, with its own written procedure and turnaround times. Many clients start with one process and add others after a few months.

Which accounting processes can be outsourced?

Common ones are accounts payable, accounts receivable follow-up, fixed asset accounting, inter-company reconciliation, expense claim checks and month-end schedules. Decisions that need commercial judgement, such as approving credit limits, stay with you.

How long does the transition take?

It depends on the process, but the stages are the same: documentation, shadowing, a parallel run and handover. We agree the timeline and go-live date in writing, and nothing moves to us until the parallel run matches your own results.

How do we keep control and visibility?

You get a written procedure, approval limits, a monthly exceptions list and read access to the work in your software. Payment release stays with your authorised signatories. We prepare and reconcile, and you approve.

Can you work in our ERP or accounting system?

We work in Tally and QuickBooks and can log into your system with limited access. For other ERP systems, we confirm what we can support before the engagement starts.

Do you support Indian subsidiaries of foreign companies?

Yes. We handle local accounting, reconciliation with the parent, and GST and TDS compliance. We can report in the parent’s format and calendar, and work with our India entry team on set-up questions.

How is the fee set for one outsourced process?

We price by volume and complexity: invoices per month, vendors or customers handled, entities involved and reporting needed. You get a written scope with the fee and the turnaround targets it covers.

Is this suitable for a small team?

Yes, especially when one person carries payables, receivables and compliance together. Handing over one process often frees enough time for your team to focus on cash planning, vendor negotiation and analysis.
